ENTRY FEE: $450.00 - Deadline for Entries December 14, 2019

FORMAT: "MAPL format" All matches will be best of 3 games to 25 with the deciding game, if necessary, to 15.

There is no cap. If there is a 3 team pool with a crossover they will play 3 sets to 25 points no cap.

ADMISSIONS: $5.00 per day

AWARDS: 1st and 2nd place medals for Gold Division winner

REGISTRATION:  Registration for this event will open on September 1, 2019. The deadline for entry is December 14, 2019 or earlier if capacity is reached. Registration for this tournament is done on Advanced Event Systems.

OFFICIALS:   The tournament will supply officials for all courts and matches.

TIE-BREAKERS: There will NOT be any tie-breaking games played.  In the case of a tie, the teams will be ranked by head-to-head results in case of a 2-way tie, or in the case of a 3-way tie: set percentage, and then, if necessary, point percentage.

TEAM CHECK IN LOCATION AND TIME:  Check in will take place on January 3rd, 2020. Late check- in is Saturday January 4th, 2020 and MUST take place 30 minutes before your first match. LOCATION TBD

FACILITY RULES: 

  • NO TOLERANCE policy for misbehavior by players/teams and spectators in the venues

  • Ball Handling is allowed on the volleyball courts only

  • Coolers and outside food and drink are NOT ALLOWED in the playing facilities. Only water and sports drinks may be brought inside the facilities.

  • Teams must provide their own practice balls.

  • Violation of these policies or any other general misbehaviors may result in IMMEDIATE dismissal from the facility for the remainder of the day.

ATHLETIC TRAINERS: There will be an athletic trainer available to tape and assist with minor injuries and serve as a first responder to more serious injuries.  

Athletes must provide tape and pre-wrap for any pre-existing needs.  Tape and pre-wrap are only provided by the tournament for emergency purposes.

Event Policy

Acceptance:

  • In order to be accepted into the event be sure to submit the following:

  1. Registration thru AES

  2. Submit your payment

  4. Fill out our housing survey

*Teams that do not use WBYP to reserve their housing will need to submit verified documentation from the accommodation in order to be accepted.  WBYP will need to verify its authenticity prior to your acceptance. If teams are renting a condo or private rental property, they must submit a signed copy of the rental agreement, which is also subject to verification prior to your acceptance.

  • Teams will be accepted based on the following criteria: date of registration, date of payment, date of housing survey completion and date of hotel confirmation.

Refunds:

  • WBYP must receive written notice of withdrawal at least 60 days prior to the start date of the event to be considered for a full refund.

  • WBYP must receive written notice of withdrawal at least 30 days prior to the start date of the event and a suitable replacement for the team(s) dropped must be found to be considered for a 50% refund.  If no replacement team(s) is/are found, the team(s) will not be eligible for a refund.

  • Teams withdrawing less than 30 days prior to the event start date are NOT entitled to a refund.

All rosters are due by 12/20/19. Rosters submitted after 12/20/19 will have a $50 late fee, which must be paid before the team will be allowed to participate in the event.

EVENT INFO

The 2020 West Virginia Travel Volleyball State Championship is sanctioned by JVA. The tournament is OPEN TO ALL TEAMS that meet the requirements. A team does NOT have to be from a JVA member club to enter. Member teams from AAU, USA Volleyball, and even non affiliated teams can enter this tournament.

Medals for Gold Medal Round - 1st & 2nd Place 

PLUS

The Gold Medal winner on EACH of the tournament dates will receive a PAID ENTRY* into the 2020 AAU Girls Junior National Volleyball Championships.

There will only be ONE paid entry for each tournament date, not for each age group. (* Amount of entry fee awarded, each tournament day, will be pro-rated for 12 teams.)

A Tournament Committee will also select an All-State Travel Team, for each tournament date. The players selected will be awarded medals, will be included in the official press release, and will be listed on the tournament webpage.


12 teams will be allowed in each of the 3 divisions. Standby teams will be allowed, in case of a cancellation. Each of the divisions are comprised of 2 age groups, as listed below: 


In the event that the tournament winner has already won a bid/entry to the

46th AAU Girls Junior National Volleyball Championships, then the Runner Up team shall be awarded the entry* (* See tournament webpage for additional information).


Each team is guaranteed a minimum of 4 matches.


ROSTER DISCLAIMER

Event Roster, JVA Participant Release and Liability Form and Medical Release Waiver Form Requirements:

  1. All players listed on the roster must be registered or members in good standing with their respective member organization.

  2. All players must meet age classification requirements. NOTE: Age waiver players are NOT eligible for this event. Have copies of certified birth certificate available for inspection.

  3. All staff listed on the team roster must be registered or members in good standing with their respective member organization. A staff member, listed on the roster for the team/club, will be with the team/club at all times while attending this competition.

  4. Coaches are required to be impact certified, at a minimum, and have proof of a background screening during the last 12 months. A current USAV membership is acceptable as proof.

  5. A staff member, listed on the team roster, will be with the team and have in their immediate possession, during this competition, a complete and legible copy of the medical/emergency release form for each player listed on the official roster. (USAV & AAU forms are acceptable)

  6. The team understands it is subject to any and all penalties for incorrect or incomplete information on this form or incomplete or incorrect results information.

  7. The roster for any team earning a paid entry into the 46th AAU Girls Junior National Volleyball Championships will be frozen as submitted on this form.


EVENT POLICY

ALL teams must be registered on AES, paid in full, and have submitted rosters to be registered into this tournament.


One Referee will be provided for each court. Teams should be prepared to provide work teams for officiating duties.


Team Check-In

Upon arriving at the tournament site (At least ½ hour before tournament start time), coaches/team reps should check in, verify, date and sign their official team rosters. Each player should have one jersey number for the duration of the event. The team rep should sign off on the roster. Coaches must submit a “JVA Coaches Sign-In Form”. Forms are available at http://www.jvaonline.org/assets/JVA_Coaches_Event_SignIn_Form%20_2018.pdf and at the Tournament sign in table.

Tournament Start Time: 8 AM


Refund Policy: Teams that cancel will be issued a 75% refund, IF a replacement team takes their place in the tournament. If no replacement team takes the place of the team that cancels, then no refund will be issued.


Parking: There is ample FREE parking.


Admissions: FREE admission with the purchase of a $5 meal ticket.


Concessions: Hot food & cold drinks will be available in the cafeteria. Tables will be assigned to each team.


NO OUTSIDE FOOD OR DRINKS ALLOWED (except water).


NO COOLERS OR LARGE BAGS ALLOWED – NO EXCEPTIONS


GATORADE WILL BE PROVIDED FOR PLAYERS ONLY


BLEACHER SEATING IN GYMS – NO OUTSIDE CHAIRS ALLOWED IN GYMS.

STADIUM SEATS ARE ALLOWED.


Paramedics are expected to be on site.


NOTES

At the conclusion of the Championship Match, the West Virginia Travel Volleyball State Champions & Runners Up will receive awards and the ALL STATE TEAM Selection will be announced and ALL STATE players will receive their awards. At that time, the awarded teams and players will pose for photos to be used in the tournaments press release and on the website and social media.
